Management Practice Introduction: Erth Ophthalmic Inc. is a multinational company dealing in ophthalmic product from last 20 years. Company has expanded its business in various countries like England, Nigeria, Brazil, United States, China, Japan, Malaysia, Singapore, South Africa and Australia. This company was incorporated in 1988 in New York City. This company has started with 5 employees only and today the number of employees working in different country is exceeding 1200. The expansion of the company was started in 1994 when company has appointed Gaurav Agrawal as its General Manager. Gaurav Agrawal is having a master's degree in Microbiology and also he is Master of Business Administration (MBA) in Operation Management. General Manager joined this company when the economic condition of the company was not good. And the business is limited to United States only. Soon after joining General Manager called a meeting of its staff members and asked them to participate in suggestion schemes. These suggestion schemes are open to each & every employee of the organization. In the suggestion scheme, employees are invited to give their suggestion for improving the working condition of the organization. The employee who has given the best suggestion was rewarded by General Manager. These suggestion schemes are very helpful in improving the working environment of the organization. With the improvement with the suggestion scheme General Manager got the confidence of the staff members. Implementation of suggestion also helped in motivation of the employee in the organization. As the employees get motivated there is a sudden increase in the production yield. Also due to the motivation, all the production processes are completed in time. General Manager shares all the information to his staff members and also involves them in making a decision on a particular Project. If we see our future as a General Manager of the same organization then we need to understand & learn about the management skills from the existing General Manager. We need to know the "How General Manager is able to manage different kinds of situations". These all information can be found by discussing the different situations at different time interval with General Manager. Interview is the most common method for getting the information about a general manager. Interviewing General Manager: While interviewing General Manager it is necessary to draft the questionnaire before interview. The questionnaire helps you to ask the relevant question only. It helps in asking all the questions, so that no question will be left. The question should be prepared in such way, so that more & important information can be gathered. In the above case our objective is to get the following information related to General Manager: Personality and the manager's core values. Philosophy about work and management Leadership and mentoring of people Organizational Goals and objectives Social responsibility and company culture Discrimination, Sexual Harassment and Diversity IT, Internet, and Globalization. 1) Questions Related to Manager's Personality and Core Value: ME: Sir, Please let me know about your background. What did you do before Erth Ophthalmic Inc. GM: I have been at Erth Ophthalmic Inc. from last 14 years. Before this I was the Assistant General Manager for Sema Technology Inc. in New York. I was responsible for expanding its business in other countries, looking after working environment of the company, sales, marketing and services. Prior to that I was the Quality Manager for Sai Visison Care Inc. and looked after all the quality issues and customer satisfaction. ME: Sir, Please let me know about main vision associated with the organization. GM: The Company needs to focus on their employee satisfaction and the customer satisfaction. These are two major areas which are of major concern in an organization. Employee's satisfaction increases productivity and therefore makes a direct impact on customer satisfaction. Satisfy employee always works in a team with honesty and full commitment. So my prime vision is employee satisfaction and customer satisfaction. 2) Question Related to Philosophy about work and management ME: Sir, What do you thing about work distribution and management. GM: Work distribution and management is very critical for the success of the organization. Proper work distribution and management can leads to minimum load on the employees and also it is very important for managers because they indicate the progress of the work or the project. Without proper distribution, the progress of a work can not be traced. During the distribution of the work it is very necessary to analyze the capability of the employee to carry out a particular task. Proper distribution of work can leads to a proper supply chain. Proper supply chain is must for producing the material on time. Before a process is completed the next process should be ready to follow it. 3) Question Related to Leadership and mentoring of people ME: Sir, Please let me know how leaderships is the key of success GM: Yes leadership plays an important role in success of a particular mission. The project manager needs to take initiative in a project so that the team of the project gets motivated and they can work with full enthusiasm and produce high quality output. The aim of the leader is to ensure that important resources are created as rapidly as they are required. Now days each & every company is looking after these two important task: 1) To complete the gives task as soon as possible so that product can be delivered as soon as possible and 2) is to plan for the growth in near future. Good leadership ensures adequate division of labor as per the project requirement. Good leader have a broad outlook on the activities and he always concentrate on these activities to achieve the project requirement. Good leader have should have good communication skills, so that the information can be clearly understood by the team. Good leader always take the responsibility his shoulder. 4) Question Related to Organizational Goals and objectives ME: Sir, Please let me know about Organizational Goal and objectives GM: For the growth, each and every company needs to have a specific goal. These goals are known as organizational goals. Organization goal enforces the methods for achieving a particular mission. In Erth Ophthalmic Inc. our organization goal is to supply quality product with complete customer satisfaction". To achieve this goal we have defined several quality parameters in our organization and trained our team to achieve these parameters. The goal of the organization should be SMART: S- Single, M- Measurable, A- Achievable, R-Realistic and T-Time Bounded. As mentioned here the goal should be single and simple, it should be measurable, it should be achievable, it should be realistic and also time bounded. If the organization goal is not complying with these requirements then it is very hard to achieve the goal mentioned. The Organization can achieve its goal in short run or a short span of time, then there may some change in goal for next period. It may be changed yearly, or once in a six month. The goal should be discussed with the employees of the organization. If the employees are not aware of the goal, then they will not focus on the achieve it. They think that the work they are doing and the output of the work as the organizational goal. 5) Question Related to Social responsibility and company culture ME: Sir, Please let me know what is social responsibility and company culture. GM: Social responsibility stands for the responsibility of an organization towards society. This responsibility is very important because it make a positive or negative impact on the society towards an organization. This responsibility can be negative or it can be positive. These responsibilities are associated with business of the organization and towards governmental rules and regulations. These responsibilities are also associated with different communities and the activist groups located in the area. Social responsibility is also known to be a voluntary responsibility. Social responsibilities are also meant for removing corruption, removing unethical practices, and providing a safe life to communities. Ethical principal are very necessary for an organization for its success. Ethical decision making is important for maintaining the strength of an organization. There various ways to use ethical decision making. One is used for increasing productivity. The productivity can be increase through the employee's satisfaction. Employee's satisfaction is very important for an organization. This can be achieved by providing a good plat form to the employee's to work, providing them different facilities like medical facility, Provident Fund facility, bonus, different celebration at different intervals like employees birthday celebration, organization annual celebration, project completion celebration, awarding gifts and monitory help to the employees when they are in need. This makes an employee fearless and he can contribute directly in increasing productivity. 6) Question Related to Discrimination, Sexual Harassment and Diversity ME: Sir, Please let me know about Discrimination. GM: Discrimination is the internal power of an individual to make a decision on the important things and also helps in making a judgment. Using discrimination power one can make the difference between two things. Discrimination is also termed as evaluation of a particular thing on the basis of certain characteristic. Discrimination is also termed as differentiating when we differentiate peoples on the basis of their merits. Discrimination is also done on the basis of the religion of employees. Discriminations are of various types: Race Discrimination, age discrimination, sex discrimination, caste discrimination, employment discrimination and language discrimination. Race discrimination is used for differentiating people on the basis of their racial features. Age discrimination is used for differentiating the people on the basis of their age. Sex discrimination is used for differentiating the people on the basis of their sex. Caste discrimination is used for differentiating the people on the basis of their caste. Employment discrimination is used for differentiating the people on the basis of their employment. Language discrimination is used for differentiating the people on the basis of their language. ME: Sir, Please let me know about Sexual Harassment in the organization. GM: Yes, sexual harassment is also an increasing problem in the organization. Women are not secure in the organization because of the changing environment. Sexual harassment can be defined as appeal for sex, verbal misbehave, physical misbehave and other verbal or physical contacts. Sexual harassment has a direct impact on the employee's satisfaction and also on the employee's work performance. As the work performance of employees gets affected, it will make direct impact on the productivity of the organization. There may be harassment of man or a woman. Harassment can be done by the supervisor or the reporting manager. In case of harassment employee need to inform human resource department immediately. Human resource department needs to take an action for prevention of such sexual harassment in the organization. As we all know that prevention is better than cure, we should prevent such harassment in our surrounding. It's the responsibility of human resource department encourage employees to take participate the harassment prevention program. Human resource department should also ensure to provide training on prevention of sexual harassment. Also human resource department should ensure the effectiveness of the training. Human resource department should also ensure a system for receiving complaints and also for taking action on the complaint. ME: Sir, Please let me know something about diversity in organization. GM: Diversity is a known to be the variety of characteristic of an individual which makes him unique from the others. Diversity is a critical part of an organization. According the various characteristics an individual employee some task is assign to him. Diversity enables manager to manage different task in an organization. 7) Question Related to IT, Internet, and Globalization. ME: Sir, Please let the role of information technology, Internet in globalization. GM: Information technology plays an important role in globalization of an organization. Now a day's internet is most important tool for expanding an organization's business electronically. On the internet one organization can make its website and also can advertise for on the different websites. Through information technology communication becomes very easier and faster. We can send emails & in a fraction of second it reaches to the desire person who is sitting in a foreign country. Thus the communication is too fast due to information technology. Conclusion: After getting all the information from General Manager we came to know that there are a lot of things to do for becoming a successful manager. There are lots of field where a general manager has to look in to it. There are a lot of problems in an organization. General Manager needs to look all the department of the company. He needs to look after from purchase to sale department. He needs to look after employee's satisfaction. For being a successful manager we need a lot of experience in the same field. We should know the exact organizational goal and how to achieve these goals. We should know how to increase employee's satisfaction, how to increase productivity, how to achieve customer satisfaction. For being a manager a lot of home work has to be performed. So it is concluded that being a General Manager of a company is not an easy task. It requires a lot of hard work and cool nature for being a successful manager.
